Inventory
Policy: The Faust library will conduct inventory once a year to keep an accurate count of the collection.


Procedures:
1. Log in to the admin account.
2. Go to the “Back Office” tab at the top.
3. Go to “Inventory”

4. Select “Start New,” located in the top right hand corner.
5. Name the inventory, be sure to include the year.
6. Enter the call number range.
7. If necessary change the “unaccounted for date.”
8. Select “Ok."
9. Confirm the start of the new inventory.

Use the Destiny in-hand to scan the materials.

11. Prior to scanning books for inventory do the following:

-Turn the in hand on.
-Press the in hand icon, (it looks like a hand).
-Go to the top left hand corner where it says “In Hand” and select “Options” and select “General.”
-Place a check next to Follett (sic) barcodes 12 of 5.
-Select done.
-Make sure that the previous inventory had been deleted by going up at the top to “In Hand” and selecting “Clear Inventory.”
-Confirm yes to delete the previous inventory.
-Scan a handful of titles and do a test run hot syncing the barcodes into the computer to verify that the in hand is working properly.
-Also, refer to the notes about inventory document by Edie Wilhide.

12. Once everything has been successfully installed correctly and it has been verified that the software works begin scanning the barcodes of materials. To scan materials:
-Press either the top yellow button or two buttons located on either side of the scanner. If a number will not scan you can select the “123” icon and you the number key pad to type the numbers into the scanner.
-It is best to work in small sections and periodically hot sync to the computer so that you do not lose any of your work. A good rule of thumb is to hot sync each time you are finished scanning.
-Refer to the list of materials to be scanned.
Note: You can perform the inventory by working in sections. For example, only do a fiction inventory. That way when you have to look for the missing books it is not such a huge task. However, a full inventory needs to be conducted on the library every year.

13. After scanning the books you must hot sync the scanned barcodes into the circulation computer. To do so:
-Place the scanner in its cradle.
-Make sure the circ computer is up and running.
-Press the hot sync button.
-Once the hot sync is complete, on the circ computer go to “my computer,” locate the “C drive,” and look for the “Destiny In Hand” folder. Open the “Destiny In Hand” folder and find the file that was just uploaded. Right click on the file and name it “Inventory 1.” This will help you for know where you left off, and if something awful should happen you won’t have to totally start over again.
Note: If there are files from previous inventories, delete the files.
-Go back into the Destiny admin account to the Inventory screen. Where it says “upload a file of barcodes,” select browse and locate the inventory file that you just renamed and select upload.
-Continue this process until the whole collection or the part you are conducting inventory on has been scanned.

14. Above “Account for Each Barcode,” you will see the percentage of the inventory that is complete. If you click on that you will be able to see the percentage of the collection that has been scanned. After all the books have been scanned, click on the percentage. Then click on “unaccounted for” and do the following:
-Print the list off.
-Look around the library and see if you can locate the missing materials. Note: Make sure to look everywhere, including the office and storage areas for books that have been put aside.
-If a book was found select found. If it was not found mark as lost. After two years delete the lost books just in case one would show up.

15. Once all the materials have been accounted for select finalize inventory.
