Policy: The Chambersburg Area School District will follow the format and standards of the current edition of the AACR, ISBD, MARC21, DDC, and Sears in order to provide cataloging records that will enhance both the collection and the curriculum.


Procedure:


AACR2

All libraries will refer to and abide by the newest edition of the AACR rules for cataloging materials.

1. Match the material that is being cataloged by one of the following material types and use the corresponding chapters to follow the AACR guidelines for cataloging the material:

Chapter 2: Books, Pamphlets and Printed Sheets
Any printed or bound material.
Chapter 3: Cartographic Materials
Maps of any type including three dimensional.
Chapter 4: Manuscripts
Manuscript books, dissertations, letters, speeches and legal papers.
Chapter 5: Music
Published music.
Chapter 6: Sound Recordings
Tapes, CDs, etc.
Chapter 7: Motion Pictures and Videorecordings
-VHS, DVDs, etc.
Chapter 8: Graphic Materials
Art, posters, charts, and photographs.
Chapter 9: Electronic Resources
Websites, CD-Roms, MP3files and disks
Chapter 10: Three-dimensional Artefacts and Realia
Models, puzzles, puppets, and sculptures
Chapter 11: Microforms
Microfilms and microfiche
Chapter 12: Continuing Resources
-A material that is issued in parts, periodicals, book series and video or DVD sets.(AARC2)


Miscellaneous: Kits

2. Look for the 8 areas of description for each of the different materials on the prescribed or chief sources of information for the material:
Area 1: Title and statements of responsibility
Area 2: Edition statement
Area 3: Material specific details
Area 4: Publication, distribution information
Area 5: Physical description
Area 6: Series statement
Area 7: Notes
Area 8: Standard numbers and terms of availability

ISBD


3. When cataloging follow the rules of ISBD
xxlaljdlafka-Only take the areas of description listed above from the prescribed or chief sources of information.
sasasssss-Using the 8 areas of description listed above to catalog material.
xxxxxxxxx-Follow the specific order listed in the current edition of AACR for which the elements that fall under the 8 areas of xxxxxxxxxdescription should appear.
sssssssss-Follow the punctuation rules listed in the current edition of AACR.

MARC 21


4. Enter the information found above in a MARC 21 record in the Destiny catalog system using the proper fields and subfields for the elements found in each of the 8 areas of description following proper AACR and ISBD rules. Place the elements in the following fields:
0xx: Fixed fields and control numbers.
1xx: Main entries such as, author, corporate body, conferences and uniform titles.
2xx: Transcribed titles, editions, material specific details, and publication/distribution information.
3xx: Physical descriptions.
4xx: Transcribed series statements.
5xx: Descriptive notes.
6xx: Subject descriptors.
7xx: Added entries for names of authors, titles and corporate bodies that are not listed in the main entry.
8xx: Series added entries.
9xx Intended for local data.

Note: Each series record will receive a separate MARC record.


Sears Subject Headings

5. All of the MARC records will be given a subject heading found in the newest edition of Sears List of Subject Headings. The subject headings should be placed in the 6xx field of the MARC record and should also follow the ISBD rules. To determine subject headings do the following:
xxxxxxxx-Find the main subject of the material being cataloged.
xxxxxxxx-Look in the current edition of Sears List of Subject Headings and find the heading that best matches/describes the main xxxxxxxxsubjects found in the material.
xxxxxxxx-Choose the most specific heading possible and try to avoid broad headings.
xxxxxxxx-Keep in mind your patrons and how they would search the catalog.
xxxxxxxx-When in doubt consult the Principles of Sears located in the beginning of Sears List of Subject Headings.
xxxxxxxx-Assign no more than 3 subject headings to a record (Inter 121-122).

Dewey Decimal Classification

6. All records will receive a Dewey Decimal Classification number according to the current edition of the current Dewey Decimal Classification Manuel. To assign classification numbers use the tables, summaries, schedules and relative index as well as general DDC policies and procedures for the district. Classify non fiction materials into following classifications numbers:
000: Generalities
100: Philosophy and psychology
200: Religion
300: Social sciences
400: Languages
500: Natural sciences and mathematics
600: Technology
700: The arts
800: Literature and rhetoric
900: Geography and history
